Intake and Inventory Visit

A first visit whose only product is an honest inventory. The coordinator arrives, opens every box and folder you point at, records what is there by category and condition, photographs the current arrangement, and leaves you a written inventory plus a list of what appears to be missing. No sorting, no filing, no interpretation — just an accurate picture of where things stand.

Records Structure Programme

RM 1,940

A seven-week programme that builds a lasting arrangement rather than a one-off tidy-up. Weekly 75-minute sessions work through one area at a time — identification and civil records, property and tenancy, employment and education, insurance and memberships, family correspondence — finishing each area before moving on. The household learns a naming convention, a scanning routine, a backup pattern on its own devices, and a habit of logging correspondence with dates.

Bureau Archive Engagement

A twelve-week engagement in which the bureau takes the full administrative weight: inventory of every container and drive, separation of active from archive, scanning and indexing onto family-owned storage, rebuilding and labelling of the physical set, and a written orientation document composed for a reader with no prior knowledge of the household. Three walkthrough sessions ensure at least two family members can navigate the arrangement without help.

How this bureau works 03

Administration only

The bureau sorts, labels, scans and indexes. It does not interpret documents, does not advise on what they mean for your circumstances, and does not act on your behalf with any institution. Anything requiring a qualified professional is noted in writing and referred onward.

Your records stay with you

Digital copies are placed on storage that you own — no household document leaves your hands or is uploaded to any bureau system. Physical originals remain in the household at all times. The arrangement we build is yours to maintain or alter at any point.

No surprises on scope

Each engagement has a fixed scope written before it begins. If additional work is identified during the engagement, it is noted in the open-questions register and discussed; it is not added without a separate conversation and written agreement.

What Kithbureau does not do

The bureau does not provide regulated advice of any kind — not on financial matters, not on estates, not on property transfers, not on immigration documents. It does not represent households before any authority. Readers who need that kind of assistance are encouraged to engage a solicitor, a licensed financial planner or another appropriately qualified professional.

A short phone conversation — about 15 minutes, no charge — is often the most direct way to arrive at the right starting point. You describe what you have and what feels most pressing; the coordinator explains which engagement fits and answers any questions about scope or process. There is no obligation to book anything.

What kinds of records does the bureau typically encounter?

Most households hold a mix of identification documents (MyKad copies, passports, birth certificates), property and tenancy records, employment letters and payslips, insurance schedules, school and university certificates, and family correspondence accumulated over decades. The inventory stage of any engagement maps what is present, what condition it is in, and what appears to be missing.

Does the coordinator need to visit in person?

For the Intake and Inventory Visit, yes — the value of that engagement comes from a physical look at what is actually in the household. For the Records Structure Programme, sessions can be conducted in person or, for households in other parts of Malaysia, partly by video call combined with a courier arrangement for materials. The Bureau Archive Engagement is an in-person programme by its nature. Travel to locations outside Perak can be arranged; any travel cost beyond Ipoh is discussed and agreed before booking.

How long does an engagement typically run before we see results?

The Intake Visit produces its written inventory within two working days of the on-site session. The Records Structure Programme builds progressively — after the first session the household already has a clear picture of one document area; by the seventh session all areas are settled. The Bureau Archive Engagement front-loads the heavy scanning and indexing work in the first several sessions so the household can see the shape of the finished arrangement early.

Can we start with the Intake Visit and then move to a fuller engagement?

Yes, and many households find that the most comfortable sequence. The inventory produced by the first visit gives an honest basis for deciding whether a programme or a full archive engagement makes sense, and what it would realistically involve. There is no obligation to proceed, and the fee for the Intake Visit is not credited against a subsequent engagement — it is paid for the inventory, which has value regardless of what follows.

What happens to our documents between sessions?

Physical originals remain in the household at all times — they do not leave the premises. Digital copies created during scanning are placed on storage that the household owns (an external drive or a cloud account under your own credentials). No document is uploaded to any bureau system or retained by the bureau after an engagement closes.

Are fees quoted inclusive of any government service tax?

The fees shown — RM 610, RM 1,940 and RM 4,600 — are the amounts invoiced. Any applicable taxes or levies are identified on the invoice itself. Payment is by bank transfer; the account details are on the invoice. A 50 percent deposit is collected before work begins, with the balance due on completion.

What if we find documents we do not understand or that raise questions?

During any engagement the coordinator maintains a written open-questions register. Anything that appears to need attention from a qualified professional — a solicitor for estate or property matters, a licensed financial planner for insurance or investment schedules, an accountant for tax-related documents — is noted in that register with a plain-language description of why it may need professional attention. The register is handed to the household at the close of each engagement.
